How to Track Miles for Participants in Multiple Programs

Set up your club to combine or separate student miles for PE, after-school, or other programs using tracks or multiple clubs.

If a student participates in different programs during the day, like PE and an after-school club, how their miles add up depends on how your account is set up. You can choose whether miles combine across programs or stay separate.


Option 1: One Club with Multiple Tracks (Recommended)

Use this if you want student miles to add up across programs while still being able to see progress by track or activity.

Here's how it works:

  • Create one club for your location

  • Add students to this one club

  • Create different tracks or activities for each program (e.g., PE, After-School, Morning Mile)

  • When you scan or add miles manually, make sure to assign them to the correct track or activity

📊 Bonus: You can pull reports by track to see miles for just PE, just after-school, or all together!

🆔 Tip: You can print separate ID cards for each program to keep things organized.

Example:
If Jordan is in both PE and After-School programs (labeled via tracks) within the same club, you can print a set of ID cards for each program. Since they’re all part of the same club, either card will work when scanning, just be sure to scan under the right track to keep mileage organized.


Option 2: Two Separate Clubs

Use this if you want miles to stay completely separate between programs and not combine on reports or dashboards.

Here’s how it works:

  • Set up one club for each program (e.g., one for PE, another for After-School)

  • Use the same location for both clubs

  • Add students to the appropriate club based on the program they’re in

📌 Important to Know:

  • Miles will not combine across clubs

  • Each club has its own dashboard and reports

  • What a student earns in one club will not appear in the other

  • Student progress is tracked separately for each program

🆔 ID Card Tip:
Each club generates its own unique set of ID cards. If a student is in both clubs, you’ll need to print an ID card for each club they’re in.

Example:
If Jordan is in your PE club and also your After-School club, you’ll print one ID card from the PE club and one from the After-School club.
When scanning laps, you must use the ID card tied to the correct club. An ID card from the PE club won’t work in the After-School club and vice versa.

This setup is ideal if you need fully independent tracking for different programs or funding needs.

Can a student be in two classes within the same club?

No. A student can only be in one class per club. Use tracks to separate activities instead.

Can a student be in both clubs at the same time?

Yes, but their miles will be tracked separately in each club. You'll need to add the student to both clubs individually.

Will student progress combine across clubs?

No. Each club tracks progress independently. Miles earned in one club will not appear in the other club’s reports or dashboard.

Not directly. You’ll need to run separate reports for each club and combine the data manually if needed.

If a student leaves one club and joins another, will their past miles transfer?

No. Miles stay with the club where they were earned. If you move a student to a new club, their progress resets in that club.

Can I have the same classes or tracks in both clubs?

Yes, you can name classes or tracks similarly, but they will function separately in each club.
